What a late timesheet actually costs

A missing timecard does not automatically mean payroll cost or revenue is permanently lost. It means the company cannot yet allocate labor confidently, complete project reporting or bill all eligible work. The financial effect depends on how much time is missing, how much is billable, whether the hours are recovered and how much management effort the recovery requires.

This calculator keeps those effects separate. It shows labor cost awaiting allocation, potential billable value at risk, employee and manager recovery workload, and the annual administrative cost of repeating the same chase every period.

How the estimates are calculated

Missing hours per period equal the number of incomplete employees multiplied by average hours missing. Labor awaiting allocation multiplies those hours by the loaded labor cost. Billable value at risk applies the expected billable percentage and average bill rate instead of assuming every missing hour is customer billable.

Monthly follow-up workload uses the manager or administrator minutes required for each incomplete employee multiplied by the number of timekeeping periods per month. Annual follow-up cost multiplies that workload by the administrative hourly cost and 12 months.

Worked late-timesheet example

If eight people are each missing 3.5 hours, the current period has 28 unrecorded hours. At a $55 loaded labor cost, $1,540 of labor is waiting for reliable project or indirect allocation. If 70 percent of the hours are normally billable at $95 per hour, $1,862 of billable value is at risk until the time is recovered and approved.

If each incomplete card takes 15 minutes of follow-up, two periods per month create four hours of recurring administrative work. At $45 per hour, that is $2,160 a year in follow-up cost, before considering billing delay, project-reporting corrections or manager interruption.

Interpret billable value as risk—not guaranteed loss

If employees complete the time later and the invoice remains open, the billable value may be delayed rather than lost. If the customer billing window closes, the work cannot be substantiated, a fixed-fee project overruns or managers estimate the allocation incorrectly, part of the value can become permanent leakage.

Use the result to identify the size and recurrence of the control problem. Do not book the estimated billable value as revenue or claim every late hour would have been invoiced.

Reduce the recovery work at the source

Set expected hours by employee and working pattern, compare expected with recorded time each day, and remind only the people with an incomplete day. Give employees current work codes and a documented exception path for leave, travel, secure locations and system outages.

Track the percentage of employees complete by the daily and period-close deadlines, average hours missing, time to recovery and repeated exceptions. The goal is not more reminder messages; it is fewer incomplete records and faster resolution when an exception is legitimate.

Are missing hours always billable?

No. Enter the percentage of recorded time that is normally billable for the affected team. The calculator applies that share instead of treating administration, leave, training and other indirect time as customer revenue.

Why use loaded labor cost instead of pay rate?

Loaded labor cost can include employer taxes, benefits and other labor burden used in internal margin reporting. Use the cost basis your company applies consistently; the result is an operating estimate, not payroll accounting.

Does the calculator assume late time becomes lost revenue?

No. It reports billable value at risk. Whether the effect is a delay, write-off or no loss depends on recovery timing, customer terms, evidence and the commercial model.

Should managers enter the missing hours for employees?

Managers can investigate and reject incomplete records, but reconstructing employee time creates accuracy and control risks. Government contractors should follow their written employee-entry and documented exception procedures.
